About Keito

Keito.work is an AI-driven enterprise software company focused on automating document extraction and data entry processes for businesses. The platform leverages machine learning to capture, analyze, and organize unstructured data from documents, significantly improving efficiency and reducing manual labor in data-intensive industries such as finance, healthcare, and legal.

Founded with a vision to streamline operations for enterprises, Keito.work helps organizations transition from manual workflows to automated, intelligent processes.

I joined Keito Tech as a Founding UX/Product designer. As the only designer working with the CEO and QA engineer, my main role was to design the software from scratch and ensure a smooth transition to live production.

Problem

Employees spend excessive time manually processing and extracting data from diverse document formats, which leads to inefficiency and errors.

Challenge

How might we transform and automate this manual processing effort?

High-level strategy

  • Implement an intuitive, user-friendly interface and provide step-by-step guided workflows

  • Offer customizable dashboards for different user roles

Goal

Create an intuitive and efficient user interface that empowers employees to seamlessly automate data extraction from diverse document formats and minimize errors.

How do I come up with the solution?

I managed the end-to-end product design process, starting by gathering requirements and understanding how the technology works. Initially, I collaborated with the CEO to grasp the software's vision, which allowed me to develop the first proof of concept (POC) as a high-level minimum viable product (MVP). I tested this MVP with users by deploying it at the BPO office (SumaSoft). This step was crucial in identifying pain points and shortcomings in our initial POC.

After many iterations, I developed Version 1 of the software. Throughout the iteration process, we conducted design sprints and worked closely with front-end engineers, machine learning engineers, and QA testers. I also facilitated monthly design workshops to consolidate our thought processes. Additionally, I conducted several rounds of user interviews, performed affinity mapping, and mapped out the user journey. An observational study was carried out onsite at the BPO, and I conducted a series of interviews with various personas.

We progressed to Version 2 of the software, which was deployed in the offices of Thomas Cook, US Government Mortgage Services, and Wells Fargo. The launch of this second version was a significant success, reaching 25,000 active users and being deployed across six enterprise businesses.
